WeCrashed

WeWork grew from a single New York coworking space into a $47 billion company in under a decade. Within a year, most of that value was gone.

In 2022 the story became an 8-episode Apple TV+ series based on Wondery's podcast WeCrashed: The Rise and Fall of WeWork, with Jared Leto as Adam Neumann and Anne Hathaway as Rebekah Neumann. It premiered on 18 March 2022.

Global platforms

Mature and feature-rich, priced in USD or EUR. Check GST invoicing and Indian payment support. Compare: Nexudus, OfficeRnD, Optix.

India-first platforms

Built for ₹ billing, UPI and WhatsApp. Check the depth of reports and the mobile apps. Compare: DeskOS, CoworkingNext.

DIY stack

Sheets, forms and WhatsApp. Cheap to start, costly in staff time and missed leads once you pass about 80 members.

Disclosure: CoWorkRM is an India-first coworking platform, and this is our site. Use the checklist to judge any tool, including ours, with a free trial and a demo on your own data.

When a spreadsheet stops being enough

Excel, WhatsApp groups and a paper visitor register work for 20 members. At 80 they start leaking money: invoices go out late, enquiries are answered the next morning, and nobody can say this month's churn. Weight the ten points by what hurts you most today, score each tool out of 5, and run the trial on a real billing cycle, not a demo account.

How to run a fair trial

Demos are designed to look good. Trials tell you the truth, but only if you run them on your own work. Load your real member list and plans, not sample data. Raise a month's invoices and check the GST lines, the numbering and the place of supply. Send one payment link to a member and see where the money lands and how long the receipt takes. Book a meeting room as a member and as an outsider. Check in a visitor. Then ask the front-desk person, not the owner, which tool they would rather use every day.

Run two tools side by side for the same two weeks if you can, and score both on the ten points above with the weights that match your space. A 30-seat owner-run space should weight billing, payments and WhatsApp heavily; a 300-seat multi-branch operator should weight reports, permissions and branch views.

Questions to ask every vendor

  • Is pricing per location, per member or per feature, and what does it cost at twice my size?
  • Are invoices GST-compliant with my GSTIN and the member's, and can I export them for my accountant?
  • Does the payment go straight to my account, or through yours?
  • Is WhatsApp the official Business API, and who pays Meta's conversation charges?
  • Can I export all my members, invoices and leads to Excel at any time, without asking support?
  • Where is my data stored, and what happens to it if I leave?
  • Who answers support, in which language, and how fast on the 1st of the month?

Moving from spreadsheets or another tool

Migration is where good tools fail operators. Ask the vendor to import your member list, plans, dues and deposits for you, before go-live, and check the opening balances member by member. Switch on the first billing cycle with someone watching it, and keep the old spreadsheet read-only for one more month. Most spaces can move in a week; the ones that struggle tried to change software and prices in the same month.

We compare CoWorkRM with global and Indian tools on public pricing and features: Nexudus, OfficeRnD, Optix, DeskOS, CoworkingNext and CoWorkingOps.

What staying on spreadsheets really costs

The case for spreadsheets is that they are free. The cost shows up elsewhere. Month-end billing for 80 members takes one capable person about three days by hand, and it slips when that person is on leave. Enquiries that arrive after 7 pm on a personal WhatsApp are answered the next morning, when many have already toured somewhere else. Missed calls leave no record. The visitor register cannot answer "who came for me at 3 pm". None of these show up as a line on a profit and loss statement, which is why they are easy to ignore and expensive to keep.

Put a number on it before you compare prices. One extra member a month at ₹6,000 is ₹72,000 a year. Three days of a manager's time every month is over a month of salary a year. Late collections of 10–15% of billing cost interest or stress, usually both. Against that, software from ₹2,999 a month is a small line. The question is not whether a tool costs money, but which tool fixes the leaks that cost you the most.

Mistakes operators make when choosing

Buying on features, not on daily use. The tool the owner likes in the demo is not always the one the front desk can run at 9 am with a queue at reception. Ignoring Indian billing. A global platform that cannot issue a proper GST invoice with the member's GSTIN and the right place of supply creates work every month. Underestimating WhatsApp. In India, members and leads reply on WhatsApp, not email; a tool that treats WhatsApp as an add-on will leave the conversation on someone's personal phone. Paying for the brand you might become. Enterprise platforms priced for 20 locations make little sense for one floor of 60 seats. Changing everything at once. New software, new prices and new staff in the same month make it impossible to tell what is working.

Use the ten points, run a real trial and keep the decision boring. The right tool is the one that is still being used properly in month six.

A scoring sheet you can copy

Write the ten points down the left of a sheet and the tools you are comparing across the top. Give each point a weight from 1 to 5 for your space: a small owner-run space might give billing, payments and WhatsApp a 5 and reports a 3; a multi-branch operator might give reports and permissions a 5. Score each tool from 0 to 5 on each point, using what you saw in the trial, not what the brochure says. Multiply score by weight, add the column, and divide by the total possible. Anything below 70% is a tool you will be working around rather than with.

Add two rows at the bottom that are not on the list: the total cost for the next three years at your expected size, and the answer to "would the front desk choose it?". If two tools score within a few points of each other, those two rows decide it.

When to switch, and when not to

Switch when the current setup is costing you members, collections or hours every month, not because a new tool looks better. The best time is a quiet month, two weeks before a billing cycle, with members told in advance that invoices will come from a new system. The worst time is the week before the 1st, or the month you open a new branch. A switch done well is invisible to members; a switch done badly is remembered at the next renewal.

The options

The options, compared

Prices below are from each vendor's own pricing page or, where the vendor shows none, the most consistent published listings, as of October 2026. All exclude GST. Each name links to our side-by-side comparison with the sources.

Nexudus is a mature global platform from about $150 a month per location, scaled by active members. Its strengths are a large integrations marketplace and a polished white-label member app. Billing is in dollars, euros or pounds, and it does not list a WhatsApp Business inbox.

OfficeRnD Flex starts at $185 a month for one location and up to 100 members, with Grow at $289 for two locations. It is strong on reporting and hybrid-office features and is used by large operators worldwide. It bills in dollars and has no WhatsApp inbox listed.

Optix starts at $229 a month ($197 billed yearly) for one location, with extra locations from $129. It has one of the best member apps in the category. Billing is in dollars.

DeskOS, built in New Delhi, starts at ₹7,999 a month billed yearly for one location and 100 seats. Leads CRM and visitor management start on its Business plan, the white-label app and WhatsApp invoicing on Business+, and GST e-invoicing with IRN and Tally integration on Enterprise, all priced on request.

CoworkingNext starts at $25 a month for up to 35 members, with a free marketing website for the space. It covers invoicing, bookings, a member directory and events, and does not list a lead CRM, WhatsApp, visitor management or payroll.

CoWorkingOps publishes no price list and quotes per space on enquiry.

CoWorkRM, ours, is ₹2,999, ₹6,999 or ₹12,999 per location a month, with a 30-day free trial. It runs leads, the official WhatsApp Business API inbox, phone and IVR, GST billing on the 1st, visitors, meeting rooms and staff payroll in one login, on web and Android.

Fit

Which tool fits which space

Under 30 seats

Excel, WhatsApp and a UPI QR can work. If you want software, look for the lowest per-location price with GST invoices and payment links; CoWorkRM Starter or CoworkingNext's small plans fit here.

30–150 seats, one or two branches

The leaks start here: late invoices, slow replies, lost walk-ins. Weight billing, WhatsApp and the lead CRM highest. India-first tools fit best; a global tool works if dollar pricing and GST checks are acceptable.

Multi-branch operators

Weight branch-wise reports, staff permissions and one owner dashboard. Check per-location pricing at your target size, not today's.

Enterprise and managed floors

Integrations, access-control hardware, accounting sync and white-label apps matter most. Global platforms and DeskOS Enterprise are strong here; ask CoWorkRM which items are early access.

7Visitors and access3/5QR visitor check-in works today; door-access hardware integration is early access.
8Mobile app3/5Android for owners, staff and members; no iOS app yet, members on iPhone use the web.
9Reports4/5Occupancy, collections and dues per branch; fewer report types than mature global tools.
10Price, support, language4/5Priced in rupees per location; a younger product with a smaller integrations list.
Where a global tool is stronger: integrations marketplaces, iOS and white-label member apps, multi-currency billing outside India, and a longer track record with very large operators. If those matter most to you, weight them and let the score decide.
FAQ

Questions people ask

What is the best coworking software in India?

It depends on the space. Global platforms such as Nexudus and OfficeRnD are mature and feature-rich but priced in dollars. India-first tools such as CoWorkRM and DeskOS are built around rupee billing with GST and WhatsApp. Score any tool on the 10 points on this page and run a trial on your own member list before deciding.

How much does coworking software cost per month in India?

Published prices in October 2026: CoWorkRM ₹2,999–₹12,999 per location a month; DeskOS Basic ₹7,999 a month billed yearly; Nexudus from about $150 a month per location; OfficeRnD Flex from $185 a month; Optix from $229 a month; CoworkingNext from $25 a month for up to 35 members. Prices exclude GST.

Do I need coworking software for a 30-seat space?

Not always. Excel, WhatsApp and a UPI QR code can run a 20–30 seat space. Software starts paying for itself when invoices go out late, enquiries wait until the next morning, or month-end billing takes days; for most spaces that happens somewhere between 50 and 80 members.

Which coworking software supports GST invoicing and WhatsApp?

CoWorkRM issues GST invoices on every plan and runs the official WhatsApp Business API inbox. DeskOS calculates GST on invoices and sends invoices and reminders on WhatsApp on its Business+ plan. The global platforms we compared do not list a WhatsApp Business inbox; check their GST invoicing for Indian members during a trial.
