Privacy Policy
This policy explains what personal data CoWorkRM collects, why, and what control you have over it. CoWorkRM ("we", "us") is a coworking-management software service operated by CoWorkRM, registered in Mumbai, Maharashtra, India. It applies to coworkrm.com, app.coworkrm.com, the CoWorkRM mobile apps and our APIs (together, the "Service").
Who this covers
- Customers: coworking operators who sign up for CoWorkRM, and their staff who log in.
- Their members, visitors, leads, partners and employees, whose details an operator keeps in CoWorkRM.
- Website visitors, including anyone who fills in the demo form.
For data an operator keeps about its own members, visitors, leads, partners and employees, the operator is the data fiduciary (controller) and CoWorkRM processes it on the operator's instructions. Requests about that data should go to the operator first. We will help them answer.
What we collect
- Account details: name, email, mobile number, company name, branch addresses, GSTIN and login credentials (passwords are stored hashed).
- Workspace data you add: members, plans, agreements, deposits, invoices and payments, visitors, bookings, leads, notes, staff attendance, leave and payroll.
- Communications: WhatsApp messages and media sent through your connected WhatsApp Business account, call logs, and, where you enable them, call recordings and transcripts.
- Demo requests: name, WhatsApp number, city, space name and size, and the page or ad campaign you came from.
- Technical data: IP address, device and browser type, app version, crash logs and push-notification tokens.
- Payment data: billing name, address and transaction references. Card and UPI details are handled by our payment partners. We never see or store full card numbers.
Why we use it
- To provide the Service: run your workspace, send the messages, invoices and reminders you set up, and route your calls.
- To bill you, prevent fraud and abuse, and keep the Service secure.
- To support you, and to reply to demo requests on WhatsApp, by phone or by email.
- To improve the product, using aggregated usage data.
- To meet legal, tax and accounting obligations.
We do not sell personal data. We do not use your workspace data to advertise to your members.
Who we share it with
We share data only with service providers who help us run CoWorkRM, under contracts that limit their use of it:
- Cloud hosting and storage
- Meta, for the WhatsApp Business Platform you connect
- Telephony and SMS providers
- Email delivery
- Payment gateways
- Google, when you connect Google Ads or Gmail
- Crash reporting and push-notification services
We may also disclose data where the law requires it.
How long we keep it
Workspace data is kept while your account is active. After you close your account, we delete or anonymise it within 90 days, except records we must keep by law (for example, invoices for tax purposes). You can export your data to Excel at any time before closing.
Security
Our primary servers are in India (Bengaluru). We protect data with:
- encryption in transit (HTTPS)
- role-based staff access
- hashed passwords
- daily encrypted backups
- access logs
No system is perfectly secure. If a breach affects your data, we will tell you and the authorities as the law requires.
Your rights
Under India's Digital Personal Data Protection Act, 2023, you can:
- ask what data we hold about you
- have it corrected or erased
- withdraw consent
- nominate someone to act for you
- raise a grievance

Cookies
coworkrm.com uses only what it needs: storage that keeps you logged in to the app, and basic analytics to see which pages and campaigns work. You can block cookies in your browser, but the app needs them to keep you logged in.
Children
CoWorkRM is a business tool and is not meant for anyone under 18.
Changes
If we change this policy in a way that matters, we will update the date above and tell account owners by email or in the app.
